7 Useful Tips for Effective Group and Meeting Polls

Planning a meeting or coordinating a group event can be challenging, especially when everyone has different schedules. Using group polls (also called meeting polls), like those on Xoyondo, makes scheduling easier—but only if they are set up effectively. Here are some important tips that we have learned over the years for creating clear, efficient, and actionable polls.

1. Keep the number of options manageable

Too many options can overwhelm participants and lead to incomplete or inconsistent responses. Aim for 3–6 options per date, time, or session, and avoid more than 20 options per poll. 3. Set deadlines

Participants are more likely to respond when there’s a clear deadline. Polls without deadlines can linger unfinished, causing delays in planning. Xoyondo allows organizers to set a closing date for the poll to ensure timely responses.

4. Use descriptive labels for options

When using free text options in Xoyondo, make sure your labels clearly describe the date, time, or session. Instead of generic names like “Option 1” or “Option A,” use descriptive labels such as “Wednesday, 10–11 AM – Main Conference Room”. Users often report that vague options lead to follow-up questions and slower scheduling.

5. Consider using the “Confidential” option

For large polls or Sign Up lists with many participants, enabling the "confidential" option allows participants to see only their own responses, not those of others. This can make participation more comfortable and often improves overall response rates.

6. Include additional information fields when needed

If participants need to provide extra details—like dietary restrictions, transport requirements, or preferred roles—request this information when they sign up. Feedback shows that combining scheduling with additional info saves multiple rounds of emails. Note that this is a premium feature in Xoyondo.

7. Send reminders

Even brief reminders can significantly increase participation. Xoyondo allows organizers to send reminders via the platform (if participants were invited through Xoyondo), which is particularly helpful for large teams where responses might otherwise be missed.
